Facilities Management Coordinator

About the RoleWe are seeking an Accommodation Operations Assistant to join our European offices team. This role is responsible for ensuring the smooth operation of our offices, maintaining a professional environment, and supporting the team's needs.
Key Responsibilities- Support the Operations team with day-to-day office management, ensuring all necessary resources are available.
- Coordinate with suppliers to procure stationery, supplies, food deliveries, and other essential items.
- Manage relationships with contractors, including IT specialists, office cleaners, and maintenance personnel, and conduct regular quality checks.
- Organize annual health and safety equipment inspections, coordinate first aid and fire marshal training, and assist with administrative duties.
- Provide support with website updates and intranet maintenance as needed.
- Cover recruitment and HR-related tasks during team absences.
- Assist with travel arrangements, manage diaries, and arrange meetings.
To succeed in this role, you will need:
- A degree or equivalent qualifications preferred.
- Relevant work experience is beneficial but not mandatory.
- Excellent interpersonal skills, ability to work collaboratively, and enjoy helping colleagues.
- Highly organized with strong attention to detail, multitasking skills, and a proactive approach.
- Strong PC skills, particularly Microsoft Office, Excel, and PowerPoint, as well as organizing online files and folders.
- A drive to learn and advance within facilities management or business operations.
- Fluent spoken and written Italian or Spanish language skills.
