Job Summary

Williams Lea Limited is seeking a highly skilled Personal Assistant to provide enhanced support services to fee earners. The successful candidate will be responsible for managing complex diaries, answering telephone calls, and organizing internal and external meetings.

Key Responsibilities

  • Proactively manage complex diaries and calendars
  • Answer telephone calls in a timely fashion and take clear and detailed messages
  • Organize internal and external meetings, including travel arrangements
  • Liaise with clients via email or telephone and act as a point of contact in keeping with the firm's standards for client care
  • Assist fee earners in the billing and credit control process, including generating accurate billing reports and draft bills
  • Assist fee earners with finance tasks, including requesting cheques, CHAPS/BACS payments, and bank transfers
  • Maintain up-to-date client records on the firm's client relationship management tool
  • Coordinate fee earner movements and make travel arrangements
  • Manage the client and matter inception process, ensuring files are opened in a timely manner in accordance with the firm's policies
  • Manage the process of submitting partner/fee earner expenses in a timely manner
  • Coordinate the completion of document production, including digital dictations and manuscript amendments
  • Manage the production of official papers, including bundles and relevant documents
  • Draft documents from precedents
  • Liaise with fee earners and support staff based in other offices

Requirements

  • Previous PA experience is essential
  • Previous experience within a legal or professional services setting is preferable
  • Exceptional standard of written and verbal communication
  • Proficient multi-tasker
  • Competent with the Microsoft Office suite
  • Team player
