Overview

Hexagon's Autonomy and Positioning division is seeking a skilled Administrative Support Specialist to manage reception and provide administrative support for the organisation. Based in our Veripos office, this role will involve coordinating business travel, updating documentation, and providing a professional service to site visitors on reception.

The Role:

As an Administrative Support Specialist, key responsibilities include:

  • Liaising with the Travel Management Company to arrange flights for employees, as per travel requests.
  • Ensuring excellent and professional service to employees, visitors, and on-site contractors.
  • Providing support to the Facilities & QA Co-ordinator when requested, including coordinating third-party services and maintenance for Veripos House.
  • Gathering information on behalf of the QHSE & Facilities department for quarterly reporting.
  • Carrying out monthly inspections on all first aid kits and updating stock when required.
  • Carrying out monthly water quality checks alongside the Facilities & QA Co-ordinator.
  • Carrying out weekly fire alarm tests alongside the Facilities & QA Co-ordinator.

Requirements:

The ideal candidate will have:

  • Education to HNC/HND level.
  • 5+ years of experience in a similar role.
  • Experience with booking business travel and liaising with Travel Management Companies.
  • Experience with Office 365 tools (Word, Excel, PowerPoint, and SharePoint).

Key Skills:

The successful candidate will possess excellent communication skills and be able to work well both independently and as part of a team.
