Job Title: Care Management Officer

  • Provide day-to-day supervision of the departments at Royal Stoke, ensuring staff rotas are complete and up-to-date.
  • Respond to queries and problems as they arise, escalating to your manager if necessary.
  • Provide cover during periods of absence for the Support Manager to ensure the smooth running of the department.
  • Carry out Individual Performance Reviews of staff.
  • Contribute towards the training of Health Records Staff and support career progression.
  • Assist other managers within Health Records in training in Health and Safety issues, such as Manual Handling and Lifting.
  • Have responsibility for the management of Health and Safety within the Health Records Offices.
  • Ensure that all casenotes received into the department are logged onto the casenote tracking system and filed in a timely manner using the core departmental systems.
  • Support the scanning process, ensuring all clinic packs and documents required to be scanned are completed in a timely manner.
  • Contribute to the development of standard operating procedures and key performance indicators for the department.
  • Participate in the out-of-hours on-call rota for the retrieval of casenotes required in an emergency.
  • Provide help when needed within the Subject Access Office.
  • Act as a supervisor overseeing the day-to-day workloads within the Health Records Department and the Subject Access Team and the Scanning Department.
  • Undertake inductions of Health Records staff.

This role requires frequent periods of sitting or standing, filing and inputting at the keyboard for most of the day, and will include elements of lifting, sorting, filing, general handling of case records as well as pushing trolleys with patient notes.

The post will mainly have contact with staff and may be subject to occasional distressing or emotional circumstances as part of their daily tasks when supporting staff within their area of supervision.

The successful candidate will be expected to take every reasonable opportunity to maintain and improve their professional knowledge and competence, ensuring that all Statutory & Mandatory Training is completed within the required timescales.

They will also participate in personal objective setting and review, including the creation of a personal development plan, and assist with the personal development reviews of staff.

The post holder will be aware and comply with Trust Policies.
