Corporate Travel Specialist

The Mercedes AMG-PETRONAS Formula One Team is seeking a Corporate Travel Specialist to join our team. This role involves coordinating travel arrangements for our team members, ensuring smooth execution of business trips. The ideal candidate will have experience in travel administration, excellent organizational skills, and the ability to work under pressure.
**Key Responsibilities:**
• Coordinate ad-hoc travel requests and tests
• Research and book cost-effective travel options
• Produce and publish travel itineraries
• Complete flight manifests and rooming lists
• Coordinate arrivals and ground transfers
• Organize vehicle allocation and subsistence allowances
• Reconcile invoices and identify rechargeable costs
• Provide out-of-hours support as needed
**About the Role:**
This vacancy has arisen for a Business Travel Coordinator reporting to the MBM Travel Manager-Race and Business. The successful candidate will be responsible for providing cost-effective travel and accommodation services to support the team's corporate and competitive objectives. Key accountabilities include:
1. Coordinating the ad-hoc travel requests and tests
2. Researching and costing options for approval prior to any bookings being made
3. Booking all travel arrangements for approved travel requests and tests, including flights, hotels, transfers, and car hire
4. Production and publication of the travel itinerary (including preparation of the itinerary document, welcome letter, and travel packs with E-Tickets)
5. Completion of the flight manifest, including input of passenger details and submission to airlines
6. Completion of the rooming list, including submission to hotels
7. Coordinating the arrival of the team and any VIPs
8. Booking of all ground transfers, both in the UK and overseas
9. Work with Mercedes-AMG to organise the allocation and use of Mercedes supplied vehicles
10. Organise the completion and submission of the subsistence allowances for team members after a race/test event
11. Check, reconcile, and complete the administrative process for all invoices. Identify and make arrangements for the recharge of any costs
12. Provide out-of-hours contact as and when required for all travel arranged by the job role, if unable to do so, ensure that an alternative is arranged
13. As and when requested, assist and provide support to the MBM Head of Travel and the rest of the Travel team, including but not limited to:
a. Maintain and provide records and other information to facilitate the smooth operation of the Travel department
b. Provide assistance with travel-related queries and issues
c. Contribute to the development of travel policies and procedures
**Requirements:**
• Experience of SAP is desirable
• Experience of travel administration in a fast-moving environment
• Advanced Excel and numeracy skills
• Excellent organisational skills and attention to detail is key
• A self-driven, pro-active individual with a can-do attitude and ability to work in a team
• Good inter-personal skills & ability to communicate at all levels
• Demonstrated ability to work to deadlines
• Ability to work well under pressure and manage sensitive and confidential information
• Able to demonstrate problem-solving skill
