Job Purpose:

The Senior Estates Manager will serve as the central point of contact for internal and external stakeholders, including statutory authorities, consultancies, and commercial partners, providing support to the Head of Estates and Operations in the effective management and leadership of the Estates and Operations Department to ensure the delivery of high-quality services across estates projects, engineering, and facilities management, with an emphasis on safety and environmental sustainability.

Key Accountabilities:

  1. Manage the day-to-day provision of facilities across the Gallery's buildings, balancing a practical, hands-on approach with the management of important contracts such as cleaning, waste management, pest control, and maintenance, as appropriate.
  2. Manage the facilities budget in a responsible manner, finding best-value solutions, preparing the budget, and reforecasting on a quarterly basis.
  3. Use the Gallery's purchasing system to raise orders and maintain regular liaison with members of the Finance team.
  4. Manage the Gallery's minor works programme relating to office accommodation and fabric projects and contribute to larger gallery-wide projects as required.
  5. Support the Senior Security and Fire Safety Manager in communicating and identifying training needs for agreed safety and fire safety arrangements and advise on the importance of relevant department's maintenance of training records for review purposes.
  6. Work with the Head of Estates and Operations and the Senior Estates Manager to support the delivery of an effective safety culture across all Gallery departments and attend all relevant Gallery Safety and Well-being Champions meetings accordingly.
  7. Support the Head of Estates and Operations in the development of the Gallery's Emergency and Business Continuity Plan in relation to Facilities Management and Accommodation areas.
  8. Assist with emergencies or urgent out-of-office-hours needs as required, including being contactable, as part of the Gallery's emergency response team.
  9. Work with the Head of Estates and Operations on the fulfilment of contract schedules with the two incumbent catering operators and maintenance of catering kitt.
  10. Develop a strategic approach to the ongoing maintenance of the Gallery, contributing to the estates team's annual plan, supporting the Gallery's environmental sustainability ambitions, and ensuring that sustainability is central to all estates activity.

Key Experience, Skills and Criteria:

  1. Project management and/or basic H&S qualification or a commitment to take agreed training courses.
  2. Degree or equivalent with demonstrable capability to produce reports, policies, and procedures, with external support, as required.
  3. IT skills: Word/Basic Excel.
  4. Experience in managing high-performance teams.
  5. Knowledge and experience of implementing environmental sustainability initiatives.
  6. Budgeting and financial management skills.
  7. Understanding of basic health and safety requirements.
  8. Facilities/buildings management experience.
  9. Good communication skills and excellent relationship management across a broad range of internal and external stakeholders.
