Administrative Support Role

We are seeking a highly organized and customer-focused Administrative Support Specialist to provide comprehensive administrative support to our Service Division at Hall & Kay Fire Engineering. As a key member of our team, you will be responsible for delivering exceptional customer service, maintaining accurate records, and ensuring seamless day-to-day operations.

Key Responsibilities:
  • Update and maintain portal and support back office systems
  • Provide exceptional customer support and respond to queries in a timely manner
  • Attend customer calls and reviews, ensuring accurate and efficient communication
  • Raise job numbers for emergency call-outs and coordinate with the call-out team
  • Create bespoke customer reports and ensure accurate data entry
  • Ensure Service delivery of PPM compliance within agreed deadlines
  • Provide accurate Service reactive updates and manage impairment reports
  • Request and generate Linked Work Orders for remedial works quotes
  • Oversee the uploading of remedial works quotes to customer portals
  • Liaise efficiently with Call-Out & Planning Co-ordinator teams
  • Monitor customer portal and jeopardy management on a daily basis
  • Compile and update contract specifics, stores, visits, asset register, and price
  • Contribute to financial performance and action customer queries in a timely manner
  • Ensure attainment of contract-specific KPIs & SLAs
  • Develop and maintain knowledge of all relevant IT systems
  • Ensure adherence to all Company Policies & Procedures
Requirements:
  • Proven experience in a similar role within the Fire Engineering/Sprinkler industry
  • Proven experience in an account management role
  • Excellent PC skills with experience in MS Packages (Word, Excel & Outlook) at intermediate level
  • Excellent verbal and written communication skills
  • Proven attention to detail and accuracy skills
  • Organisational and time management skills
  • Ability to work independently and as part of a team
  • Results/task orientation
  • Dedicated customer focus with a genuine commitment to continuous quality improvement
What We Offer:
  • Competitive salary negotiable depending on experience
  • 25 days holiday plus bank holidays and option to buy 5 days and sell 2 days

  • Hours: 36.5 hours per week (Monday to Thursday 8.45 – 16.40, Friday 8.45 – 16:00)
