At LifeArc, we are seeking an experienced Administrative Support Director to lead our executive administrative team in providing exceptional support to departments across the organisation.

About the Role

This is a fantastic opportunity for a seasoned professional to join our dynamic team and contribute to making life science life changing. As an Administrative Support Director, you will be responsible for managing and coordinating the executive administrative support requirements across LifeArc, ensuring effective and efficient service delivery with appropriate resource management.

You will collaborate with various teams, including Facilities, Organisation Development, and Communications, to support the embedding of our employee value proposition through an enhanced employee experience within the office environment.

  • Lead and manage the executive administration team, adhering to LifeArc's policies and procedures, and aligning with the manager pillars: focusing on a compelling future and driving great performance.
  • Promote a culture of supportive team working within the executive administration team.
  • Review executive administrative support requirements and establish a baseline level of support, ensuring consistency and fairness of access to support.
  • Coordinate across departments to ensure executive administrative needs are serviced.
  • Oversee the workload of the team, allocating work amongst the team as ad-hoc support requests arise, ensuring fairness of work distribution.
  • Ensure continuity of support when executive administration team members are sick or on leave.
  • Monitor spend on executive administration temps.
  • Lead on the recruitment of new executive administration team members as required.
  • Conduct new employee office inductions - tours and introductions.
  • Plan and implement employee experience events and initiatives across sites in collaboration with the mentioned teams.
  • Manage memberships - maintaining a database of LAs annual memberships, point of contact, expiry dates, associated fees, and benefits offered.
  • Manage conference attendance - ensuring that anything TC-related is signed off by TC leaders, and LA delegates are coordinated to avoid over-attendance and unnecessary cost.

Key Requirements:

  • Significant management experience in an administrative environment.
  • Experience of managing a social committee or similar office events management.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Basic understanding of budgeting, financial reporting, and cost control.
  • Operates with autonomy, making decisions related to daily operations, resource allocation, and team management without supervision.
  • Engages in problem-solving and stakeholder management to prioritise tasks and optimise resource allocation to align administrative functions with the broader objectives of the organisation.

What We Offer:

We offer a competitive salary of £55,000 - £65,000 per annum, depending on experience, plus benefits, including pension scheme contributions, private health insurance, and 31 days annual leave PLUS bank holidays. Our flexible benefits allow you to choose those which are important to you.
