Role Overview

The Procurement Specialist will be responsible for creating and placing supplier orders to be processed via EDI link, email or online. This role is based in the UK and may require travel to meet with suppliers and work alongside colleagues.

Key Responsibilities

  • Ensuring all customer orders are raised to supplier purchase orders and placed with suppliers in a timely manner.
  • Placing online orders with suppliers.
  • Liaising with sales teams to advise on any product delays or pricing issues.
  • Liaising with accounts regarding any invoice queries and pricing issues.
  • Managing discontinued product orders to ensure alternatives are sourced.
  • Liaising with Purchasing Managers regarding any supplier issues.
  • Managing emails and general enquiries relating to supplier orders from both internal and external channels.
  • Dealing with queries arising from orders placed and communication to the relevant sales or purchasing person.
  • Checking acknowledgements to ensure product and pricing are correct and update system, accordingly, liaising with the purchasing manager.
  • Maintain trader record cards with updated information.
  • Liaising with IT as required for system updates and changes.
  • Assisting the Specials Manager with sourcing and placing specials order enquiries.
  • Sourcing product where the main supplier is out of stock to ensure customer experience is of a very high standard.

Person Specification

  • Time management is critical in this job role, so the ability to focus and drive to meet goals, deadlines and manage their workload is key.
  • Developed communication skills and a high level of professionalism to work with senior personnel and suppliers.
  • To be competent in Excel and Word.

Other Qualifications or Experience

  • Negotiating skills.
  • Experience sourcing products from manufacturers.
  • Experience developing strong supplier relationships.
  • Strong numeracy skills, the ability to manipulate and present data.
  • Strong commercial acumen.
  • Good Excel and Word skills.
  • To be able to drive, hold a full UK license.

Desirable Qualifications or Experience

  • Sourcing product and supplier management.
  • Knowledge of the business supplies and services industry.
