We are seeking an experienced and skilled professional to join our team as a Receptionist / Administrator. This is a full-time, permanent role based in Glasgow.

This is a fantastic opportunity for a motivated individual who has experience working in a busy administrative environment, ideally within the professional services sector.

As a Receptionist / Administrator, you will be responsible for providing an exceptional administrative service, including the archiving of client information, supporting the Front of House team, and handling all reception tasks.

Your key responsibilities will include:

  • General administrative duties, including making deliveries and collections
  • Opening, sorting, and distributing post, including internal mail
  • Collection of post at set times during the day
  • Messenger duties when required
  • Copying and scanning of documents
  • General switchboard and reception duties
  • First point of contact for all visitors, clients, and colleagues
  • Welcome all guests in a polite and professional manner
  • Manage all incoming switchboard enquiries, transferring of calls, and taking messages
  • Ensure the reception area is clean and tidy at all times, with up-to-date information on display
  • Manage meeting room bookings
  • Ensure meeting rooms are clean and tidy before future meetings
  • Arrange refreshments required for meetings
  • Audio typing, filing, and archiving documents
  • General administrative tasks
  • Travel to Edinburgh to cover holidays or sickness when required

To be considered for this opportunity, our client requires:

  • Previous experience working in a busy administrative and receptionist role
  • Background working within the professional services sector
  • Extremely professional and presentable at all times
  • Excellent communication and interpersonal skills
  • Ability to think on your feet and use initiative
  • Proactive and ensure tasks are completed before being asked
  • Strong work ethic with high standards at all times
  • Ability to work under pressure and juggle multiple tasks
  • Strong IT skills and ability to use different systems, including MS Office and Intranet
  • Ability to work independently
  • Willingness to be flexible and proactive
