Administrative Support Coordinator

We are seeking a highly organized and detail-oriented Administrative Support Coordinator to join our team at Primary Care Management Solutions Ltd.
As an Administrative Support Coordinator, you will be responsible for providing administrative support to our clinical team, ensuring the smooth operation of our practice. Your duties will include, but are not limited to:
• Processing and filtering medical reports and letters via DOCMAN
• Scanning and processing documents
• Greeting and directing patients, and effective use of the appointment system
• Booking appointments, processing information, and assisting patients as required
• Acting as the central point of contact for patients' letters, reports, and other documentation
• Liaising with the multidisciplinary team and external agencies, such as secondary care and community service providers
Main Responsibilities
The following are the core responsibilities of the Administrative Support Coordinator:
1. Receive correspondence from external agencies and process accordingly
2. Scanning documents to the relevant software program and logging them
3. Filtering documents suitably according to need and passing them to the relevant clinicians to read and action
4. Initiating contact with and responding to requests from patients, team members, and external agencies
5. Photocopying documentation as required
6. Supporting administrative staff, providing cover during staff absences
7. Inputting data into patients' healthcare records as necessary
8. Managing all queries in an efficient manner
9. Maintaining a clean, tidy, and effective working area at all times
10. Supporting all clinical staff with general tasks as requested
Secondary Responsibilities
In addition to the primary responsibilities, the Administrative Support Coordinator may be requested to:
1. Maintain and monitor the practice appointment system
2. Process personal, telephone, and e-requests for appointments
3. Answer incoming phone calls, transferring calls, or dealing with callers' requests appropriately
4. Signposting patients to the correct service
5. Participating in audit as directed by the audit lead
6. Actioning incoming faxes when necessary
7. Scanning patient-related documentation and attaching scanned documents to patients' healthcare records
8. Completing opening and closing procedures in accordance with the duty rota
Person Specification
We are looking for a highly motivated and organized individual with excellent communication skills. The ideal candidate will have:
• Educated to GCSE level or equivalent
• GCSE Mathematics and English (C or above)
• AMSPAR Receptionists Qualification
• NVQ Level 2 in Health and Social Care
• Experience working with the general public
