About the Role

We are seeking a highly organized and detail-oriented Property & Workplace Support Specialist to join our team at DLA Piper in Birmingham. As a key member of our Property & Workplace team, you will provide administrative support to our colleagues and clients, while working towards the successful completion of a Level 3 Business Administration apprenticeship.

Key Responsibilities
  • Provide administrative support to the Property & Workplace team, including filing, scheduling, data entry, and finance support.
  • Deal with queries and requests from internal and external clients, and visitors at all levels.
  • Assist with incoming and outgoing post, DX and courier deliveries.
  • Manage records and archives, and ensure that all documentation is up to date and compliant with company policies.
  • Engage with suppliers to ensure that stock levels are maintained, and that all necessary materials are available.
  • Produce high-quality documents, including printing, scanning, and manipulating electronic documents.
  • Assist with meeting room bookings, including updating the system, catering, IT requirements, and setting up video conference facilities and WebEx meetings.
  • Creation and amendment of documents within the firm's house style guidelines.
  • Opening of matters in the firm's document management system and filing of documents within agreed protocols.
  • Assist with event organization and completion of training to ensure both technical and personal skill development.
  • Undertake ad hoc departmental duties as required.
Requirements
  • Good level of IT knowledge, including Microsoft Office Suite.
  • Confident and able to build trust and rapport to develop effective relationships.
  • Able to handle multiple priorities, working to sometimes conflicting timescales in a fast-paced and challenging environment.
  • Remains calm under pressure.
  • Focus on continued personal development and ensuring all training requirements are up to date.
