Office Support Coordinator for Halifax Community Hub

Job DescriptionThis office-based position requires travel to various locations within and around Halifax, with a starting salary of £23,088. The successful candidate will be responsible for providing administrative support to Newground staff, overseeing reception tasks, maintaining databases, and supporting event coordination.
Key Responsibilities:
- Administrative Support: Provide professional assistance to Newground staff, including general typing, mail merge, photocopying, collating information, and maintaining spreadsheets and databases.
- Customer Feedback: Collect and analyse customer feedback to identify trends and implement actionable improvements, ensuring a consistent focus on enhancing the customer service experience.
- Customer Relationship Management: Ensure the customer relationship management database is kept up to date with all the required information for each contact.
- Social Media: Use social media to find and engage with potential customers, listen to brand chatter, and drive traffic to the company website.
- Collation and Administration: Collate paperwork relating to funding and audits, collate monitoring details for submission to the charity, and create a professional atmosphere in the reception area.
- Visitor Experience: Ensure a professional and welcoming environment for visitors at Newground by promptly answering external telephone calls, clearly relaying messages, and efficiently managing the mail room for all incoming and outgoing correspondence.
- Stationery and Supplies: Monitor and control stationery and office stock supply, and order refreshments and cleaning products for bases.
- Meeting and Event Support: Organise the refreshments for meetings, assist with room bookings, administer internal and external events, and update spreadsheet bookings and room bookings.
About You
- We are looking for an individual who is enthusiastic about working in different offices, possesses a positive and can-do attitude, is a team player who is proactive, self-motivated, and able to work independently.
- The ideal candidate will have experience in delivering comprehensive administrative services within a team setting, and will be proficient in delivering exceptional customer service and communicating effectively with individuals both over the phone and in-person.
- Prior experience in using Microsoft Office applications, particularly in Word, Excel, and Outlook, is required.
