Job Summary

The Marine Personnel Specialist will play a key role in supporting the Personnel Operations Team, bringing expertise in long-term crew planning and scheduling, crew engagement, and compliance with company and client requirements.

Key Responsibilities

  • Develop and implement crew scheduling strategies to meet commercial and client demands.
  • Collaborate with the crew management team, operations department, and recruitment to plan seafarer rotations and maintain manning levels within budget.
  • Ensure ships have the necessary balance of vessel type experience and compliance with OCIMF and Owner matrix requirements.
  • Manage training matrices and P010 procedures for all seafarers, identifying and analyzing training needs.
  • Ensure accurate and up-to-date staff rotations in COMPAS, running daily/weekly reports to monitor compliance statistics.
  • Manage seafarer queries, coordinating responses in line with Company procedures, and managing relatives as necessary.
  • Schedule candidates under the crew mobilisation process, supporting joining crew with shipboard documentation and returning crew with future assignments.
  • Lead communication with external partners, including manning agencies, for effective onboarding and offboarding of crew.
  • Seamlessly resolve scheduling issues for planned and unplanned events, with follow-up analysis to manage corrective actions.
  • Support the Marine Personnel Lead and Head of Marine Personnel Operations with onboarding and offboarding processes.
  • Support the Marine Personnel Lead with disciplinary matters relating to managed crew as necessary.
  • Deputise for the Marine Personnel Lead as required.
  • Work with Clyde Travel and local port agencies to coordinate global travel for shipboard teams, ensuring cost-effectiveness within budgetary requirements.
  • Strong knowledge and understanding of STCW, including certification requirements by rank, supporting the Marine Personnel Lead with updates to the code and dissemination to the team.
  • Attend and input to meeting and reporting requirements as necessary to support client deliverables.

Candidate Requirements

  • Degree-qualified or equivalent experience.
  • Experience and understanding of ISM, STCW, MLC, and TMSA requirements.
  • Competency in a scheduling role, preferably in the marine industry or another sector.
  • Experience working with complex crewing systems, such as COMPAS, with the ability to manage scheduling requirements.
  • Experience in running what-if scenarios and schedule risk analysis.
  • Ability to produce clear and concise information for senior management decision-making.
  • Outstanding communication, presentation, and stakeholder management skills are essential for this role.
  • Focus on continuous improvement, striving to improve the quality of scheduling output and KPI/SLA compliance.
