Job Title: Regulation Team Assistant

Join the Independent Healthcare Providers Network (IHPN) team as a Regulation Team Assistant, supporting the Head of Patient Safety and Quality Governance in delivering a wide-ranging work programme focused on patient safety, quality, and operational delivery.

About the Role

The Regulation Team Assistant will provide day-to-day support and coordination of the regulation team, including arranging meetings, diary liaison, and general administration tasks. This role will also involve coordinating regulation team forums, ensuring their smooth running, and managing the regulation team areas of the website.

Key Responsibilities
  • Coordinating and leading the organisation of Regulation Team events, including annual safety conferences, virtual and in-person forums, and meetings.
  • Ensuring the smooth running of clinical, digital, HR, and other specialty forums.
  • Providing administrative support for high-priority projects, such as "Share and Learn".
  • Organising internal and external meetings and visits for team members, arranging travel and accommodation as needed.
  • Preparing and setting up for meetings and events hosted within and outside the office.
  • Preparing materials for workshops and sessions and arranging delivery as necessary.
  • Supporting and developing Regulation Team engagement with new and existing members, potential members, and other relevant networks.
  • Supporting the team on the transition to a new CRM system, ensuring members and stakeholders' details are captured within the new system.
  • Acting as a channel for external bodies and organisations to communicate with IHPN.
  • Maintaining tidy, organised, and up-to-date electronic and paper files and correspondence, in line with specified systems and processes.
  • Supporting the preparation and distribution of newsletters and communications as required.
Requirements

We are looking for a highly organised and proactive individual with excellent communication skills and the ability to build effective working relationships with stakeholders. The ideal candidate will have a proven track record in administration, diary management, and team coordination, with a can-do attitude and a willingness to learn and grow.

Essential skills include:

  • Proven track record in administration
  • Efficient and proactive approach to work
  • Practical experience of diary management and team coordination
  • Excellent written and verbal communication skills
  • Competent use of Microsoft Office suite, especially Word, Excel, Microsoft Teams, and webinars
  • Interest in problem-solving and improving ways of working
  • Self-starting and organised with the ability to prioritise and work to deadlines
  • Excellent attention to detail

Desirable skills include:

  • Practical experience of social media channels, including LinkedIn
  • Experience working within a healthcare or membership organisation
  • Experience working with programmes such as Canva and Flourish
