About the Role

We are seeking a highly skilled and experienced Fleet Service Controller to join our team at Pullman Fleet Services. As a key member of our operations team, you will play a vital role in ensuring the efficient and effective management of our fleet maintenance operations.

Key Responsibilities
  • Provide exceptional customer service to our clients, ensuring their needs are met and exceeded.
  • Manage daily Work In Progress reports, ensuring accurate and timely entry of jobs into our system.
  • Resolve customer queries and concerns, escalating issues to the Workshop Controller or Manager as necessary.
  • Coordinate customer bookings, ensuring payment and authorization procedures are followed.
  • Raise job cards and service sheets, maintaining accurate records and documentation.
  • Provide timely and accurate customer documentation, maintaining customer files and records.
  • Place orders on Sage, liaising with suppliers and chasing invoices to minimize accruals.
  • Dispatch Service Inspection Worksheets and certification to customers as required.
  • Ensure accurate completion and submission of vehicle Accident Report Forms.
  • Contribute to the development and delivery of a positive and proactive cultural environment.
  • Manage on-site ATF lane bookings and associated costs, ensuring revenue and profitability.
  • Ensure 100% compliance with customer platforms, such as R2C.
Requirements
  • Proven customer service experience, particularly in a vehicle-based environment.
  • Knowledge of commercial vehicle repairs and road transport operations.
  • Excellent administration skills, with ability to articulate clearly verbally and in writing.
  • Self-motivated and able to thrive under pressure, working independently and as part of a team.
  • Detail-focused, organized, and capable of taking ownership of tasks.
  • Sound geographical knowledge of the UK and good standards of GCSE level or equivalent education.
  • Proficient in Microsoft Office applications, with knowledge of Maintenance Management Systems a bonus.
