About the Role
NHS Lincolnshire Integrated Care Board is seeking a highly skilled and motivated Administrative Coordinator to join our team. As an Administrative Coordinator, you will be responsible for handling data entry of patient information, managing telephone communications with patients and clinical staff, taking minutes during meetings, generating and mailing letters, and sending and responding to emails.
Key Responsibilities
- Provide high-level general administrative support for All-Age Continuing Care and the broader team as needed.
- Organise department meetings, manage calendars, take minutes, and handle any administrative tasks related to meeting planning.
- Efficiently address and resolve invoice queries in a timely manner.
- Consistently adhere to service guidelines, policies, procedures, protocols, and systems to ensure quality standards and performance.
- Answer telephone calls, accurately take messages, and forward them to the appropriate person/department.
- Manage all outgoing and incoming mail, ensuring compliance with Information Governance standards.
- Perform word processing, scanning, photocopying, and other document processing tasks as needed.
- Demonstrate office systems and departmental processes to new starters.
Requirements
- Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
- Demonstrable experience of working in a busy administrative environment.
- Experience working with computerised data systems.
- Excellent working knowledge of Microsoft Office.
- Awareness of equality and valuing diversity principles and Understanding of Confidentiality and Data Protection Act.
- Experience dealing with customers or service users.
- Ability to work effectively as part of a team and work on own initiative, organising and prioritising own workload to set deadlines.
