About the Role

  • This is a full-time office-based position located in Central London.
  • You will be responsible for serving as the primary point of coordination for executive leadership, overseeing recruitment lifecycle and new hire integration, managing complex diary scheduling and travel arrangements, handling sensitive information with absolute discretion, driving operational excellence across administrative functions, supporting strategic initiatives and special projects, and facilitating internal and external communications.

Key Responsibilities

  • Serve as the first point of contact for senior investment professionals and handle all correspondence, ensuring seamless communication.
  • Coordinate and manage travel arrangements, accommodations, and meetings for executives, ensuring timely and efficient execution.
  • Develop and maintain relationships with external stakeholders, including vendors, partners, and clients, ensuring smooth interactions and negotiations.
  • Oversee the recruitment process, from initial screening to onboarding, ensuring a seamless experience for candidates and hiring managers.
  • Manage and maintain confidential documents, records, and databases, ensuring secure storage and accessibility.
  • Provide administrative support to senior executives, ensuring timely preparation of reports, presentations, and other materials.

Requirements and Qualifications

  • A minimum of 2+ years of experience in an executive assistant or similar role, preferably in a financial services industry.
  • Demonstrated interest in financial services and a strong understanding of the investment industry.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with senior executives, colleagues, and external stakeholders.
  • Advanced proficiency in Microsoft Office suite, particularly Excel, Word, and PowerPoint.
  • Meticulous attention to detail, with the ability to maintain accurate records and data.
  • Strong project management capabilities, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Professional discretion and integrity, with the ability to maintain confidentiality and handle sensitive information with care.
