Operations Executive Role

The Operations Executive is the heart of the Administrative process within each Account. We are passionate about delivering first-class support to our teams and clients, tailored to meet and exceed their needs. We are driven to achieve operational excellence and to develop our skills in line with the clients' and business' needs.

Key Responsibilities
  • Administration & Data Management
    • Manage daily downloads of retailer sales data
    • Ensure master data management is accurate at all times
    • Forward enquiries to the relevant contact
    • Update and maintain attendance logs and contact details
    • Cover reception desk as needed
    • Support holiday cover for the Operations Executive team
    • Assist field managers with booking meetings, accommodation, and flights
  • Technical
    • Support loading of scripts in line with client objectives
    • Validate updates and changes made to Field Execution Tool
    • Communicate completion of updates and potential impacts to users
    • Support software issues from the field team using Service Now
  • Fleet Management
    • Main point of contact for fleet-related queries and updates
    • Maintain driver and vehicle lists in C-track
    • Support booking and managing hire cars
    • Accidents
  • Call File Management
    • Ensure calls are added or removed as needed
    • Support changes to call file requirements
    • Use Geoplan territory planning tool
  • Reporting
    • Complete basic reporting with use of formulas
    • Export data from 360 and format for Field Management team
  • Support for Account Briefing Process
    • Produce and send account activity briefs to the field
    • Compile visual aids and training documentation
    • Set up relevant information in systems
  • Client Communication (if applicable)
    • First point of contact for operational queries
    • Manage client operational requirements
  • New Business (if applicable)
    • Support New Business Projects as needed
  • Client Review Presentations (if applicable)
    • Help build quarterly client review presentations
    • Analyze operational information and ensure relevance for clients
    • Build PowerPoint presentations to simplify findings
  • Financials (if applicable)
    • Manage fuel reconciliations, expenses, and driver deductions
    • Manage credit card reconciliations and ensure payroll deadlines
  • Strategic Direction
    • Contribute to the strategic direction of the Account and business
    • Review and propose new ways of working for current processes
  • Other Requirements
    • Attend at least one field visit and one meeting per quarter
    • Regularly read and follow Company policies and procedures
    • Take personal responsibility for Health & Safety Regulations
    • Take responsibility for personal development and complete mandatory training
    • Adhere to General Data Protection Rules and policies
