We are seeking a highly organized and proactive Office Manager to ensure the smooth running of our clients Head Office in Staines Upon Thames. Reporting directly to the Director of Finance, you will support the Board and Senior Management Team (SMT) by coordinating meetings, maintaining key records, and overseeing the day-to-day management of office facilities.
Key Responsibilities:- Organize and manage Board, Committee, and SMT meetings, including minute-taking, agenda preparation, and action log updates.
- Ensure compliance with Companies House and other regulatory bodies.
- Maintain the Quality Management System and ISO 9001 accreditation, including facilitating audits.
- Manage Head Office facilities, covering health & safety, utilities, cleaning, and maintenance contracts.
- Oversee IT and phone services, coordinating with providers and managing IT assets.
- Lead on health and safety policy updates, risk assessments, and business continuity planning.
- Act as the main point of contact for insurance matters, managing renewals and claims.
- Proven experience in office management with strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- A proactive and customer-focused approach with the ability to work independently.
- Competency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and an ability to learn new systems quickly.
- A valid driving license and own transport for travel between sites when necessary.
- 25 days annual leave plus bank holidays.
