The Role: Care Home Administrator (Bank)
We are seeking an experienced administrator to provide essential administrative support on a bank basis to our portfolio of homes in the Hertfordshire and Essex area. This role is crucial in ensuring smooth operations, compliance, and exceptional service within our care homes.
Your Responsibilities- Provide comprehensive reception duties, including answering calls, transferring them to appropriate departments, and greeting visitors with a warm and professional demeanor.
- Manage general correspondence, telephone inquiries, and reception tasks. Prepare timesheets and submit summaries for payroll processing, maintain accurate records, and take minutes during meetings.
- Offer efficient typing support from written and recorded material, utilizing Microsoft Office to ensure professional layouts and adherence to corporate standards. Maintain strict confidentiality at all times.
- Support the Home Manager and Deputy Manager in achieving corporate objectives and administrative tasks, including diary management, meeting preparation, and coordination.
- Coordinate duty rosters, liaise with bank and agency staff as needed, and ensure smooth staffing coverage.
- Sort and distribute mail efficiently throughout the care home.
- Support the recruitment process for new employees by ensuring all paperwork and relevant documentation is complete and accurate.
- Maintain meticulous records of all essential resident documentation, including financial contracts, monthly invoice requests and payments, pocket money cash records, and sundry invoices.
- Provide clients (or next of kin) with all financial invoicing and information, including sundry invoices. Liaise to resolve queries, address corrections, and follow up on unpaid invoices.
- Maintain accurate records of client admissions, hospitalizations, and discharges to ensure correct charges are invoiced.
- Process Social Services Assessment forms, invoice accordingly, and liaise with the Social Services Finance department. Chase late payments promptly.
- Provide a monthly summary of invoices issued and payments received to Head Office. Submit all management information to the line manager monthly.
- Prepare and submit data relating to petty cash and wages totals on a monthly basis.
- Match supplier invoices/delivery notes, obtain authorization for payment before submission to Head Office. Liaise with suppliers regarding queries and refer complex issues to the Home Manager.
- Provide an efficient telephone and reception service to the general public and relatives/visitors to the care home.
- Attend training courses and sessions as required to enhance your skills and knowledge.
- Maintain strict client, staff, and business confidentiality at all times.
- Manage stationary orders, maintain stock levels, and keep accurate records.
- Answer the telephone promptly, record accurate messages, respond positively to problems and inquiries, and deal appropriately with any visitors to the care home.
- Ensure all internal and external customer interactions are met with a welcoming and professional manner.
