We are seeking a highly skilled Client Services Administrator to join our Internal Client Services team at AJ Chambers in Guildford.

The ideal candidate will have at least 6 months of administration experience and a solid customer service centric work ethic.

Key Responsibilities:

  • Develop solutions to ensure an exceptional service is provided at all times.
  • Update service users on progress and status of tasks where appropriate.
  • Support the Compliance & Risk Team with client due diligence, conflict checking, and Anti Money Laundering processes.
  • Manage files, maintain and update existing files, and demonstrate an understanding of principal documents.
  • Deal with internal and external postal deliveries and arrange courier services as necessary.
  • Work effectively and efficiently on the Practice Management System to log and record documents.
  • Undertake file closing procedures, including archiving and retrieval.
  • Complete searches at the request of Partners, fee earners, Client Services Leads, and Client Services Executives.
  • Perform photocopying, printing, scanning, binding, and filing tasks.
  • Support the Finance team by ensuring receipts, cheques, and bills are correctly loaded onto the system.

Practice Group Specific Tasks:

  • Depending on the Practice Group, additional tasks may include producing document packs, court bundles, and keeping client specific records updated.
  • Prepare files for costs assessments, undertake basic Land Registry searches, and Data Subject Access Requests.
  • Check Companies House for company registration numbers, addresses, director details, and update the Practice Group intranet pages.

Person Specification:

  • A minimum of 6 months administration experience.
  • GCSEs graded A to C to include maths and English (or equivalent level of qualification).
  • Solid customer service centric experience and work ethic.
