Lettings Coordinator Job Description

At GKR International, we are seeking a highly organized and detail-oriented Lettings Coordinator to join our dynamic team in the heart of the City of London. As a key member of our residential lettings team, you will be responsible for providing exceptional customer service, managing lettings administration, and supporting our sales department.

Key Responsibilities:
  • Act as the primary point of contact for lettings enquiries, meeting and greeting landlords, tenants, and liaising with contractors.
  • Meet and greet visitors into the office, assisting with initial queries and providing a warm welcome.
  • Manage keys, including tagging and de-tagging, and maintain accurate records.
  • Answer main line calls, respond to voicemails, and manage emails, ensuring prompt and efficient communication.
  • Assist with facilities management, including arranging compliance-related inspections and certificates.
  • Support other offices and lettings departments as required, ensuring seamless communication and collaboration.
  • Coordinate check-ins and inventory inspections, ensuring a smooth move-in process.
  • Handle pre-tenancy administration, including preparing tenancy agreements, conducting referencing checks, and managing move-in funds.
  • Perform Right to Rent checks on tenants and maintain accurate records.
  • Arrange and manage compliance-related inspections and certificates, ensuring timely completion.
  • Follow up on signed terms of business, ensuring prompt and efficient communication.
  • Assist with preparing valuation packs for managers, providing valuable insights and data.
  • Create and update property listings and window cards, ensuring accurate and up-to-date information.
  • Support the sales department, generating invoices, and contributing to marketing materials for residential lettings.
  • Provide coverage for other coordinators during their absence or leave, ensuring seamless continuity.
Requirements:
  • 2+ years of experience in lettings or property administration, ideally in an estate agency or similar environment.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with landlords, tenants, and colleagues.
  • Meticulous attention to detail, with a focus on accuracy and precision in all aspects of the role.
  • Proficient in software and general IT solutions, with the ability to learn new systems and technologies quickly.
  • Team player with a flexible attitude, strong work ethic, and a genuine interest in the property sector.
