An opportunity has arisen for an enthusiastic and motivated Dispenser / Patient Services Advisor to join our dedicated multi-disciplinary team to provide high-quality care and excellent customer service. Remuneration is highly competitive, depending on experience.

Key Responsibilities:

  1. Interacting with patients in person, via telephone, and via our website.
  2. Booking appointments and issuing repeat prescriptions.
  3. Dispensing medication and dealing with administrative tasks.
  4. Working autonomously and as part of a team.

Core Duties:

  1. Checking all medicines dispensed, ensuring there are no discrepancies.
  2. Dispensing medicines to the entitled population safely and accurately.
  3. Collecting prescription charges in accordance with dispensary protocol.
  4. Maintaining stock levels within the dispensary, liaising with the dispensary manager to facilitate reordering.
  5. Receiving and storing supplies in accordance with current policy, ensuring the cold chain is maintained where applicable.
  6. Ensuring controlled drugs are dispensed in accordance with practice policy.
  7. Safe disposal of returned and/or out-of-date medicines.
  8. Ensuring all repeat prescriptions are processed within a 48-hour timeframe.
  9. Providing patients with advice regarding all prescription matters.
  10. Processing prescription requests via email, post, face-to-face, and online.
  11. Processing Dossett boxes.
  12. Assisting the Dispensary Manager in the preparation of monthly returns.
  13. Maintaining a clean and safe working environment at all times.
  14. Maintaining accurate records, read coding entries appropriately.
  15. Maintaining and monitoring the practice appointment system.
  16. Processing personal, telephone, and e-requests for appointments.
  17. Answering incoming phone calls, transferring calls or dealing with the caller's requests appropriately.
  18. Signposting patients to the correct service.
  19. Initiating contact with and responding to requests from patients, team members, and external agencies.
  20. Reading code data on SystmOne.
  21. Photocopying documentation as required.
  22. Data entry of new and temporary registrations and relevant patient information as required.
  23. Inputting data into the patients' healthcare records as necessary.
  24. Directing requests for information (e.g., SAR, insurance/solicitors letters, and DVLA forms) to the administrative team.
  25. Managing all queries as necessary in an efficient manner.
  26. Carrying out system searches as requested.
  27. Maintaining a clean, tidy, effective working area at all times.
  28. Monitoring and maintaining the reception area and notice boards.
  29. Supporting all clinical staff with general tasks as requested.
  30. Ensuring consultation rooms are well stocked with clinical supplies.

Additional Responsibilities:

  1. Partaking in audit as directed by the audit lead.
  2. Providing guidance for trainee dispensary staff and students as necessary.
  3. Remaining current with the latest guidance ensuring the dispensary conforms to NICE, CQC, etc. guidance.
  4. Supporting administrative staff, providing cover during staff absences.
  5. Scanning patient-related documentation and attaching scanned documents to patients' healthcare records.
  6. Completing opening and closing procedures in accordance with the duty rota.
  7. Supporting the Reception Manager in the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
  8. Ordering and monitoring of stationery supplies.
