Job Title: Service Contract Administrator

MDP Communication Services Limited is a leading provider of access control, door entry, CCTV, and automated gates solutions. We are seeking a highly organized and detail-oriented Service Contract Administrator to join our administration team at our headquarters in Potters Bar, Hertfordshire.

Job Purpose:

To ensure a seamless workflow of office procedures and provide exceptional support to our Senior Office Administrator. This role involves maintaining a positive company image by acting as the first point of contact for visitors, clients, and vendors.

Main Responsibilities:
  1. Communicate with clients and tenants to schedule appointments for our service call engineers.
  2. Proactively schedule appointments into our internal database.
  3. Manage correspondence, including emails, mail, and phone calls.
  4. Administer company expenses and invoices as required.
  5. Answer phone calls and transfer them as necessary.
  6. Draft, format, and print relevant documents.
  7. Maintain stock lists and order office supplies as needed.
  8. Interact with the Senior Office Administrator and carry out their requests.
  9. Assist with purchase orders and invoicing as required.
  10. Manage outgoing post and record special deliveries.
  11. Photocopy, print, and file documents as needed.
Requirements:
  1. Prior office management experience is preferred, but training is available.
  2. Strong attention to detail and ability to work independently.
  3. Excellent time management and prioritization skills.
  4. Excellent communication and customer service skills.
  5. Ability to handle confidential information.
  6. Good record-keeping skills and ability to multitask.
