About the Role

We are seeking a highly organized and proactive Conveyancing Assistant to join our busy and friendly conveyancing team in Newcastle. As a key member of the team, you will play a vital role in managing residential property transactions, providing exceptional client service, and supporting the conveyancing team in delivering high-quality legal services.

Key Responsibilities
  • Assist with the day-to-day management of conveyancing files, including sales, purchases, and remortgages.
  • Open new files, perform client due diligence, and ensure all compliance and regulatory requirements are met.
  • Liaise with clients, estate agents, mortgage lenders, and other parties involved in the transaction, providing regular updates and answering queries.
  • Draft standard correspondence, prepare legal documents, and complete forms such as Land Registry applications and SDLT returns.
  • Conduct property searches (local authority, Land Registry, environmental, etc.) and report results to the conveyancer.
  • Handle post-completion processes, including registration of title with HM Land Registry and ensuring Stamp Duty payments are processed.
  • Keep the conveyancing case management system updated with accurate data and ensure all key milestones are tracked.
  • Provide exceptional client service through regular communication by phone and email.
  • Assist with general administrative tasks such as filing, scanning, and managing incoming and outgoing correspondence.
Requirements
  • Previous experience in a conveyancing or property law environment is highly desirable.
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively in a busy environment.
  • Strong attention to detail and accuracy when preparing legal documents and updating files.
  • Effective communication skills, both written and verbal, with the ability to liaise confidently with clients and third parties.
  • Experience using case management systems and good working knowledge of Microsoft Office (Word, Excel, Outlook).
  • A proactive approach to work with the ability to work independently and as part of a team.
  • Knowledge of the conveyancing process and understanding of key property law principles (preferred but not essential for junior applicants).
