Administrative Assistant

This is an exciting opportunity to join Hitachi Energy as an Academic and Operations Administrator, working closely with the Operation Manager to support projects and general office administration. The successful candidate will have excellent organisational skills, with the ability to prioritise and organise workload and actions to meet the demands of the team and organisational needs.
The role involves working in a vibrant office environment where accuracy, quality, and timely completion of work are paramount. You will have personal dedication, commitment, and flexibility to thrive in this position.
Responsibilities:
- Support the Operations Manager and team in general administration.
- Organise key events, team meetings, and project reviews.
- Prepare reports, minutes of meetings, letters, and other documents.
- Collate QHSE data for monthly reports.
- Maintain electronic and paper-based filing systems.
- Obtain quotations and ensure purchase orders are established and approved for training.
- Manage training databases and competence recording systems.
- Comply with the Fleet Operators Recognition Scheme.
- Coordinate Sentinel subscriptions, records, and sponsorship contracts for railway industry projects.
- Arrange disciplinary hearings when Sentinel rules are breached.
Requirements:
- Experience in project administration or a similar field.
- Strong communication and interpersonal skills.
- Advanced Microsoft application skills.
- Data management system familiarity.
- Excellent communication and negotiation skills.
- Attention to detail and accuracy.
- Professional and confident manner.
- Independent work capability.
- Time and task management skills.
Estimated salary range: £30,000 - £40,000 per annum depending on location and experience.
