Job Description

We are seeking an experienced Administrative Services Coordinator to join our team at FW Recruitment. As an Administrative Services Coordinator, you will be responsible for overseeing all day-to-day office operations and providing administrative support to ensure the smooth running of our office.

The successful candidate will have a minimum of 2-3 years of experience in a similar role and excellent English communication skills. Strong knowledge of facilities management operations, purchasing, vendor negotiations, and project management is essential.

The salary for this position is estimated to be between £28,000-£34,000 per annum, depending on experience. The working hours are Monday to Friday, 8:45 am to 5:00 pm, with possible on-call availability after business hours to respond to emergency situations as necessary.

Duties and Responsibilities
  • Meet and greet external visitors, sign them into our company system, and coordinate with internal parties to provide general administrative support.
  • Answer phone calls for our manufacturing site and other sites, direct calls appropriately, or take messages.
  • Accept deliveries, distribute them accordingly, and maintain stock of office equipment and kitchen supplies.
  • Manage contracted housekeeping staff by coordinating with the agency, arrange regular maintenance of equipment and internal systems, and operate and manage waste management processes and contracts.
  • Coordinate with vendors for maintenance and repairs, renew annual maintenance contracts, and conduct PAT testing and plumbing services.
  • Ensure consumables and sundry purchases are ordered and delivered on time, generate and maintain purchase orders, and conduct market research to evaluate new vendors.
  • Provide internal H&S quarterly audit reports, conduct fire alarm roll calls, and liaise with property management companies on communal areas.
  • Organize travel arrangements for overseas colleagues and customers, consolidate office expenses and invoices, and reconcile petty cash monthly.
