Job Summary

We are seeking an experienced Document Controller to join our team due to company growth. As a Document Controller, you will be responsible for ensuring that documents are properly stored, archived, distributed, and updated to ensure the projects run smoothly.

This role will involve liaising with various teams and ensuring adherence to document control procedures and company policies.

Key Responsibilities

  • Oversee the creation, management, and distribution of project-related documents, ensuring accuracy and completeness
  • Maintain both electronic and paper filing systems to ensure proper archiving and easy retrieval of documents
  • Ensure proper version control of documents, ensuring that the most current versions are available and obsolete versions are archived
  • Check documents for consistency, accuracy, and compliance with company standards and industry regulations
  • Coordinate the distribution of documents to internal and external stakeholders, ensuring timely delivery and proper tracking
  • Facilitate the document review and approval process by routing documents to the appropriate parties and tracking their progress
  • Support project teams in preparation for audits by ensuring that all documents are complete, organised, and compliant
  • Generate regular reports on document status, distribution, and compliance with document control procedures
  • Work closely with project managers, engineers, and other stakeholders to ensure proper flow of documentation across teams

Requirements

  • Previous experience as a Document Controller
  • Proficient in the use of document control software - Microsoft Share Point
  • Proficient in the use of Microsoft Office Suite (Word, Excel, Outlook etc.)
  • Ability to manage multiple tasks and prioritise effectively
  • Strong attention to detail and organisational skills
