Job Summary
We are seeking a highly organised and detail-oriented Travel Coordinator to join our team. As a Travel Coordinator, you will be responsible for providing administrative support to our travel operations team, ensuring seamless travel arrangements for our employees and clients.
Key Responsibilities
- Review and track outstanding hotel invoices, contacting hotels as necessary to obtain invoices and maintain an updated list of outstanding invoices.
- Report to the Travel Operations & Security Manager on unresponsive hotels or discrepancies between charges and invoices.
- Assist the BDO Travel Team with coordinating hotel payments, collaborating with the payments team and travel arrangers to ensure timely payment.
- Support the BDO Travel Team in cataloguing insurance claims related to business travel bookings, submitting claims to the insurer and informing claimants of approval or denial status.
- Review expense reports to verify that no claims include hotel costs paid by BDO.
- Monitor travel and home hubs bookings to ensure compliance with corporate travel policies.
- Identify and report any out-of-policy bookings to the appropriate Lead Partners.
- Conduct manual monitoring of travel to high-risk locations, assisting with securing ground transportation and coordinating with consultants to ensure accurate completion of risk assessments.
- Provide stakeholders with travel information, including travel policy, security, insurance, and Egencia.
Requirements
- Intermediate/Advanced proficiency in Word, Excel, PowerPoint, and Outlook.
- Previous experience arranging travel for a large organisation.
- Ability to handle multiple tasks simultaneously in a fast-paced environment.
- Strong communication skills, with the ability to communicate effectively with employees at all levels.
- Ability to multitask, prioritising tasks and advising managers on expected completion times.
- Flexible approach, with a willingness to contribute to the wider team.
