The Programme Support Officer plays a pivotal role in the administration of the inspiring Futures programme, encompassing marketing, communications, meeting minutes, and social media presence.
Key Responsibilities- Project Services
- Provide administrative support to the Project Team, including record-keeping, recruitment files, and timesheets, reporting discrepancies to the Senior Management Team.
- General Administration
- Offer accurate and timely support through various administrative activities, such as letters, queries, file setup, and management.
- Assist in preparing meeting agendas, correspondence, reports, and policy documents as requested.
- Maintain official minute books of all meetings and staff meetings, ensuring confidentiality, records of motions, and decisions, and updating action logs regularly.
- Ensure correct notices are given for meetings in accordance with legal requirements.
- Record minutes at meetings, including Board Minutes.
- Ensure facilities are provided for the conduct of meetings.
- Generic Responsibilities
- Represent the Senior Management Team and the organisation as appropriate at various meetings, working parties, panels, etc., as directed.
- Coordinate and participate in internal/external meetings and forums.
