At AJ Catering Staff, we are seeking a highly organized and detail-oriented Event Administrative Assistant to join our Technical Events team. As an Event Administrative Assistant, you will play a crucial role in supporting the team with administration, marketing support, front-line sales, and exceptional customer service.
Key Responsibilities:- Event Planning & Delivery: Pro-actively liaise with clients to understand their requirements and provide exceptional customer service.
- Liaise with third-party suppliers and external clients to ensure seamless event execution.
- Assist the booking team with updating bookings in Kinetics (Kx) and support technical management with file delivery processes.
- Review program of events to ensure accurate billing and coherence.
- Support technical management with bookings and scheduling of staff, including documenting invoices and monitoring payment processes.
- Generate and process purchase orders, ensuring accurate and timely billing.
- Support Events Operations with administrative processes to ensure smooth event operation.
- Respond to general queries from internal and external sources, providing guidance from colleagues when necessary.
- Maintain stock of routine supplies and update marketing materials, including price lists, website information, and client/visitor guides.
- Facilitate central monitoring of equipment and required repairs under the supervision of Event Technicians.
- Maintain highly efficient use of storage locations.
- Undertake necessary training as required.
- Perform other administrative duties as required to support the wider Events & Catering team.
