Job Summary

We are seeking a highly skilled and experienced Support Secretary to join our Trauma and Orthopaedics secretarial team. The successful candidate will provide a comprehensive support service to the medical secretaries and clinical teams, including dealing with enquiries, correspondence, filing, and uploading dictation.

Main Duties of the Job

The successful candidate will be responsible for:

  • Typing clinics, letters, reports, and other patient-related documentation on a daily basis.
  • Ensuring that all work leaving the department is of the highest quality in terms of presentation and layout and is dispatched within agreed timescales.
  • Filing tests and loose histories regularly as appropriate.
  • Retrieving, logging, and returning case notes/medical records and ensuring that they are processed in accordance with Trust policy.
  • Undertaking administrative and clerical duties as required.
  • Updating and maintaining a working knowledge of hospital systems so that enquiries can be dealt with efficiently.

Job Responsibilities

The successful candidate will participate in regular meetings and will be actively involved in generating ideas for service improvement. They will also communicate efficiently and professionally with colleagues, clinicians, other Trust personnel, and external agencies at all levels, promoting a positive image of the Trust at all times.

Person Specification

The successful candidate will have:

  • GCSE (or equivalent) English and Maths.
  • RSA II or equivalent in secretarial skills and typing.
  • Demonstrable working knowledge of Microsoft packages- Word, Excel etc.

Desirable Qualifications

The successful candidate will also have:

  • Certificate in Medical Terminology.
  • Secretary qualification.
  • Willingness to actively seek personal development and training.

Experience

The successful candidate will have experience in:

  • Maintenance of computerised files.

Knowledge

The successful candidate will have:

  • Typing skills.
  • Ability to communicate effectively and efficiently - verbal and written.
  • Good communication skills (written, face to face and on the telephone).
