Job Title: Executive Assistant to CHG Director

We are seeking a highly skilled and experienced Executive Assistant to provide exceptional support to the Director of the Centre for Human Genetics, Nuffield Department of Medicine.

About the Centre for Human Genetics

The Centre for Human Genetics (CHG) is a world-leading research unit that houses approximately 400 researchers and staff conducting cutting-edge research in human genetics, genomics, and bioinformatics.

With nearly 3,500sqm of laboratory space, the unit hosts a variety of research groups and small research facilities that deliver key services and technologies to support these teams.

Key Responsibilities
  1. Act as the primary contact for all internal or external enquiries and requests for information for the CHG Director.
  2. Manage the Director's diary, using initiative to make considered judgements when juggling the demands placed on the schedule.
  3. Organise efficiently the arrangements for meetings, including arranging appropriate catering for meetings held in the office and other venues.
  4. Make all domestic and international travel arrangements for the Director, including arrangement of visas, processing of expenses, and arrangement of insurance as per the University's policies and legal regulations.
  5. Provide daily operational line management to other PAs working in the unit, with 3 direct reports.
Requirements

We are looking for an individual with:

  • Education to A-Level or equivalent.
  • Demonstrable experience as an executive or personal assistant at a senior level.
  • Complex diary management and dealing with confidential and highly sensitive correspondence.
  • Excellent administrative skills, including proficiency in audio/touch typing, record-keeping, and dictation.
  • High levels of computer literacy with a good knowledge of MS Office, SharePoint, and Teams.
  • A responsive attitude to changing office technologies such as file sharing platforms, remote working aids, and video conferencing tools.
  • Skilled in communication, both written and oral, with the ability to draft reports and present information to a high standard.
  • A high standard of numeracy, with the ability to track financial spend against budgets.
