Sales and Customer Service Role

Firstline Pharma Ltd, a customer-focused pharmaceutical wholesaler and distributor, is seeking a Sales and Customer Service Coordinator to join their expanding team. This role is ideal for a high-energy, experienced sales professional with strong communication skills and a passion for problem-solving.

Key Responsibilities:

  1. Support Sales Managers in processing new customers and sales orders.
  2. Provide exceptional customer service, working closely with purchasing, warehouse, and quality teams to ensure timely updates on orders.
  3. Manage the Sales Email Inbox, responding to enquiries and assigning new tasks to Sales Managers.
  4. First responder to inbound phone calls for the sales team.
  5. Support the onboarding of new customers, performing necessary checks and collaborating with the Sales Managers, Finance Manager, and Quality team.
  6. Input sales orders into the ERP system and manage customer orders, ensuring timely updates and progress communication.
  7. Liaise with Quality and Warehouse teams to expedite orders and resolve any issues.
  8. Act as the primary point of contact for customers, managing day-to-day activities such as sales order entry, handling enquiries, and managing delivery expectations.
  9. Resolve issues and complaints in a timely and professional manner via phone or email.
  10. Support Quality and Finance with supplier returns, invoice queries, and credit notes.
  11. Manage customer expectations throughout the sales process, from initial enquiry to order completion.
  12. Complete necessary sales paperwork accurately and on time, adhering to company procedures for GDP compliance.
  13. Conduct analysis of key accounts and input into sales team targets and KPIs.
  14. Ensure GDP knowledge and training are up to date, operating within company procedures and maintaining GDP data.
  15. Identify and communicate risks, taking proactive measures to prevent issues.
  16. Stay up to date with regulatory changes and industry trends through ongoing self-learning, CPD, and training.

Requirements:

  • Strong communication and problem-solving skills.
  • Experience in sales or customer-facing roles.
  • Ability to work in a fast-paced environment and meet deadlines.
  • Good organizational and time management skills.
  • Proficiency in using ERP systems and other software applications.
  • Familiarity with GDP guidelines and regulations.
