About the Role:

We are seeking an efficient Personal Assistant to support our CEO. This is a busy, involved and varied role which requires a high level of organisational skills and the ability to work in central London office location 4 days a week.

Key Responsibilities:

  1. Extensive diary management and support, including organising and co-ordinating multiple diaries and meetings for the CEO.
  2. Act as the first point of contact for internal and external meeting requests, ensuring all requests are responded to and meeting invitations sent out in a timely manner.
  3. Organising domestic and worldwide travel including booking flights, hotels, etc for CEO and COO.
  4. Prioritise daily activities, meet deadlines and multi-task.
  5. Composing correspondence and prepare presentations with excellent written and presentation skills.
  6. Ensuring supporting paperwork in place prior to all meetings.
  7. Initiating and implementing streamlined systems and processes.
  8. Minute taking and providing status reports as necessary.
  9. Running company and personal errands as necessary.
  10. Monitors and reviews budgets, addressing issues as appropriate.
  11. Network, develop a network of PAs across key contacts.
  12. Be key contact for BFC Board and Internal Board, managing flow of information, attendance at BFC events and management of key events.
  13. Delivering individual tasks whilst maintaining focus on overall objectives.
  14. Demonstrates best practice in managing communications and quality standards.
  15. Working closely with CEO to provide support in completing tasks and ensuring deadlines are met.
  16. Drives best practice behaviours and works as a team to meet BFC's objectives to maintain integrity and reputation.
  17. Represents the BFC and acts as an ambassador at events, corporate initiatives, networking, etc.

Project Work:

  1. Organise all Board meetings, including booking venues, organising and maintaining attendee lists, creating presentations, writing minutes and circulating appropriate information to agreed audiences.
  2. Management of show tickets for LFW for Chairman, CEO and COO.
  3. Assist CEO as required on all BFC events.
  4. Maintain and develop positive and strong working relationships with: CEO, internal board & company-wide, PAs industry-wide, Hotels, Restaurants.

Requirements:

  1. Enthusiastic, hardworking and pro-active.
  2. Effective communicator and an excellent collaborator, with exceptional people skills.
  3. Confident in a fast-paced environment and able to demonstrate flexibility with regards to working hours when required and able to meet changing deadlines.
  4. Have exceptional interpersonal, communication and time management skills.
  5. Have an attitude of 'finding a solution' is essential.
  6. The ability to work autonomously, on your own initiative but contribute to project groups with BFC team when required.
  7. Exerting and maintaining discretion is essential.
  8. Ability to remain calm, diplomatic and composed.
  9. Ability to work under pressure and tight deadlines.
  10. Promotes a positive, professional image in the office, and out with clients and contacts.
