  1. Work independently and collaboratively to support the External Client Services team in producing high-quality client deliverables.
  2. Format and assemble financial statements and other client deliverables in compliance with firm standards, ensuring attention to detail and timely delivery.
  3. Enter and maintain client data using Microsoft Dynamics 365 software, creating jobs, rolling forward, and archiving as needed.
  4. Perform general administrative tasks, including answering calls, filing, photocopying, scanning, and welcoming clients and colleagues.
  5. E-file tax returns to CRA and participate in training to stay current with software and process changes.
  6. Maintain paper and electronic files according to firm document retention and destruction policies.
  7. Prepare and edit correspondence, reports, proposals, and other documents.
  8. Provide billing support using Doane Grant Thornton's systems and follow up on AR as necessary.
  9. Scan documents, send and receive files electronically, and ensure confidentiality of sensitive information.
  10. Manage communications, expense administration, and travel arrangements for team leadership.
  11. Coordinate external and internal appointments, meetings, facility reservations, and catering.
  12. Demonstrate professional behavior and build positive relationships to support the firm's image and culture.
  13. Act as the point of contact for Reception.

Requirements

We're looking for an individual with a strong understanding of administrative processes and excellent communication skills. If you have:

  1. At least 1 year of experience in a professional services environment.
  2. Excellent verbal and written communication skills.
  3. Solid business acumen and interpersonal skills.
  4. The ability to work effectively for multiple people.
  5. A strong attention to detail and consistent production of high-quality work.
  6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  7. Experience with CRM tools is an asset.
  8. Availability to work overtime as required.
  9. An exceptional client service mindset and ability to de-escalate difficult situations.
