Job Summary

The Senior Account Coordinator provides exceptional support to customers and internal dealership organization. This role requires a high level of technical expertise and understanding of the order fulfillment process within the department.

Key Responsibilities
  • Order Preparation and Management
    • Create accurate and complete client proposals, including new customer setup, entry/import of specifications, pricing, classification, and revenue codes.
    • Generate purchase orders upon receipt of required documentation and/or deposit per current process.
    • Ensure orders are entered promptly and reviewed for accuracy and completeness before being sent to the manufacturers/vendors.
    • Work with vendors and internal project teams to reconcile acknowledgement discrepancies and manage timely ship dates based on project requirements.
    • Create and publish customer status reports.
    • Coordinate delivery/install dates with vendors, Operations, clients, and Project Managers (depending on work scope).
    • Obtain punch list, enter into business system, communicate with vendors, expedite and coordinate follow-up on service through completion.
    • Assist with project management responsibilities as needed, to include spec checks and punch ID/resolution.
    • Ensure factory interface is ongoing and that orders are monitored, projected ship dates meet project schedule requirements, that all acknowledgements are checked and discrepancies followed up on, and that orders are closed out in a timely and responsible manner.
    • Participate in vendor and dealer training programs and activities for ongoing professional growth and development.
  • Departmental Responsibilities
    • Carry out requested tasks to support efforts of individual sales representatives and Account Managers, which can include pre-sale activities (requesting product and labor quotes, being the point of contact for smaller scope projects).
    • Serve as a hub of communication and information to other cross-functional teams (Design, Project Management, Finance and Operations).
    • Ensure that all communication with internal and external customers is timely, accurate, and meets customer requirements for information and order status.
    • Participate in vendor and dealer training programs and activities for ongoing professional growth and development.

    Requirements
    • 5+ years of experience as an Account Coordinator is required.
    • Background in customer service.
    • Ability to independently manage sales transactions.
    • General knowledge of all aspects of contract furniture management, including customer service, account management, project management, and design.
    • Proficiency in MS Office Suite (Word, Excel, Outlook, etc.).
    • Ability to work in dealership business system and 20/20 at advanced levels.
    • Understanding of the complexities and sophistication required to thrive in the dealer environment.
    • Fluid interpersonal skills to interact effectively with a wide range of customers, vendors, personnel, and departments.
    • Ability to see the big picture and integrate into day-to-day tasks and activities.
    • Excellent and effective oral and written communication.
    • Prior experience successfully managing multiple projects simultaneously in a fast-paced work environment.
    • Excellent analytical and problem-solving skills.
    • Strong organizational and administrative skills.
    • Experience in customer service required.
