About the Role
We are seeking a highly organized and customer-focused Facilities Administrator to join our team at Capstone Property Recruitment. As the first point of contact for all property-related requests, you will play a key role in supporting store operations colleagues and ensuring the smooth operation of our business.
Key Responsibilities
- Accurately record and manage requests from local stakeholders, analyzing and resolving issues remotely or escalating to facilities management colleagues or external contractors.
- Log all requests onto the Computer Aided Facilities Management (CAFM) software and provide a unique call reference number to requesters.
- Liaise with Head Office departments, stores, and contractors to ensure effective operation of the business.
- Monitor and respond to emails received into the Facilities inbox, advising requesters on actions undertaken and expected timescales for completion.
- Review CAFM for out-of-hours jobs and assign to contractors via the CAFM portal, including loading estimates and following up as necessary.
- Ensure tasks are completed in line with Reactive Maintenance SLAs/KPIs and track job progress against predetermined KPIs.
- Produce ad-hoc reports for the Facilities Manager and vet orders from stores to control expenditure.
Requirements
- Fluency in French and English is essential, with other European language skills advantageous.
- Strong customer service and communication skills, with the ability to prioritize effectively and manage a busy workload.
- High attention to detail and accountability, with an understanding of Facilities Management beneficial.
- Be proactive and a problem solver, proficient with MS Office tools (Word, Excel, PowerPoint, and Outlook).
