Key Responsibilities:
  • Implementation and project management of event registration websites, app builds, and all technological aspects of our events
  • Staying up-to-date on emerging technologies, popular culture, and trends, and ensuring team members are informed
  • Innovating new technology and ensuring seamless integration between systems
  • Database Management: ensuring consistency of information and generating lists upon request
  • Managing client evaluation communications, such as save-the-dates, invitations, registration, confirmations, etc.
  • Assisting in the development and management of online registration
  • Managing relationships with technology suppliers, including contract negotiation
  • Effective communication with internal and external clients over the phone, in person, and via email
  • Collaborating with event Project Managers/Coordinators on overall program logistics, production, and implementation
  • Database management to ensure consistency of information, accurate data, inputting new data when required, and generating lists and reports upon request
  • Coordinating planning and utilization of the mobile app, and assisting with build depending on platform
  • Leading contact for attendee management and technology vendors, including pre-event and during execution
  • Responsible for all registration collateral and equipment management
  • Creating and distributing post-event client surveys
  • Registration desk flow design and setup
  • Reviewing and managing relevant third-party vendor invoice reconciliation, e.g., badging/attendee tracking, etc.
  • Providing insight into user experience of all pre-event and onsite registration for both virtual and in-person events
  • Providing training support to team members on current technology and processes
  • Ability to travel domestically and internationally in support of client events
  • Supporting other members of the department as needed on ad-hoc projects
  • Acting as an ambassador for the FIRST brand, leading by example, and displaying the company's core values (Ambition, Creativity, Excellence, Integrity, Teamwork)

We are looking for an experienced professional with a strong background in meeting planning and coordination, including event and registration technology. Proficiency with registration website platforms such as Cvent, Splash, Certain, Aventri, Eventbrite is required. Experience with virtual meeting and event platforms such as Intrado, GlobalMeet/TalkPoint, Zoom, WebEx, SpotMe, Concise Chime, or other virtual meeting and event platforms is also necessary. Additionally, experience in integrating customer relationship management software, such as Marketo, Salesforce, Dealcloud, with event registration management systems such as Cvent is required.

The ideal candidate will be highly motivated, able to work independently, and exhibit a strong work ethic, patience, and a winning attitude. Flexibility and willingness to work outside of normal business hours (evenings, weekends) and travel when required to be on-site at events and/or troubleshoot remotely are essential. Strong proficiency with Microsoft Office, specifically with Excel and PowerPoint, is required. Strong oral and written communication skills, customer focus, and approachable demeanor are also necessary. Independent and critical thinking, with a keen sense of judgment, and the ability to manage multiple projects simultaneously are essential.
