About the Role:

We are seeking an experienced Executive Assistant and Office Manager to support the Director of Digital Infrastructure at UK Research and Innovation. The successful candidate will work in a distributed team, managing relationships at all levels, and providing administrative support to the Director and the Digital Infrastructure Senior Team.

Key Responsibilities:

  • Providing comprehensive administrative support to the Director and the senior team, including arranging meetings, ensuring actions are addressed, and ensuring the Director is fully briefed.
  • Managing email correspondence, bringing relevant emails to the Director's attention, and dealing with correspondence on their behalf when necessary.
  • Coordinating travel and managing expense claims.
  • Managing the office accommodation at RAL and Daresbury, including regular visits to ensure the office is running smoothly.
  • Procuring goods and services, processing expenses, and monitoring spend.
  • Responsible for the annual appraisal and annual award processes, ensuring compliance with STFC process and policy.
  • Coordinating and organizing visits to STFC Facilities, including liaison with visitors, negotiating dates, and arranging logistics.
  • Arranging facilities and logistics for DI Summer and Winter conferences.
  • Supporting the Director in improvement project work as advised.
  • Acting as Office Manager for all DI staff at all sites, including DI offices and High Performance Computing Centres.

Person Specification:

  • Previous experience of providing high-quality administrative support to senior managers.
  • Excellent ability to prioritize and plan, well-organized, and able to take initiative and work independently.
  • Clear and professional written and verbal communication skills, with a keen eye for detail and accuracy.
  • Good interpersonal and collaborative skills, able to develop good working relationships with a broad range of people.
  • Calm, discreet, and respectful of confidentiality.
  • Excellent IT skills, including Outlook, Zoom, MS Word, Teams, Excel, and PowerPoint.
  • A positive and flexible demeanor, successfully collaborating with colleagues to achieve results.
  • GCSE English and Maths Grade C and above or similar.
  • Enthusiasm to learn and develop.
