Scope of the Role:

The key objective of the Accounts and Credit Control Assistant is to contribute to the smooth running of the finance department. You will work closely with the Accounts Manager, Assistant Accountant, and the Finance Director to ensure that invoices issued by the team are paid in full and on time.

The role requires that you are comfortable communicating clearly with both individual and organizational clients. You will need to be familiar with accounts receivable procedures and reconciliation of month-end accounts.

Main Duties and Responsibilities:

  • Issuing and Posting Invoices: You will be responsible for issuing and posting invoices to clients' ledgers, ensuring accurate and timely processing.
  • Issuing Statements: You will issue statements to clients, providing clear and concise information about their account balances and payment due dates.
  • Credit Limit Management: You will manage and update credit limits for clients on our accounting system, ensuring that limits are set and adjusted as necessary.
  • Overdue Balance Monitoring: You will monitor overdue balances and take prompt action to chase clients for payment.
  • Client Communication: You will communicate with clients to answer their questions, resolve issues, and provide support as needed.
  • Financial Reporting: You will support the Accounts Manager and Finance Director in producing ad-hoc reports and financial information, as required.
  • Client Onboarding: You will manage client onboarding processes, including credit checks and setting up clients on our accounting system.
  • Audit and Compliance: You will audit draft invoices to ensure they meet all necessary criteria, including application of VAT, nominal ledger details, and purchase orders.
  • Client File Maintenance: You will maintain accurate and up-to-date client files, ensuring that all relevant information is readily available.
  • Financial Support: You will provide financial support to the Accounts Manager as needed, including tasks such as reconciliations and journal entries.
