Job Title: Investment Managers Assistant

Are you looking for a challenging and rewarding role in a dynamic environment? We are seeking an experienced Investment Managers Assistant to join our team at Page Personnel Finance.

Job Summary:

The Investment Managers Assistant will provide administrative support to our Investment Managers, ensuring the smooth operation of our business. This is a fantastic opportunity for someone who is highly organized, numerate, and has excellent communication skills.

Key Responsibilities:

  • Provide administrative support to Investment Managers, including preparing documentation, processing mail, and maintaining records.
  • Ensure the office is tidy and well-organized, and that all necessary supplies are available.
  • Process incoming and outgoing mail, including DX and Royal Mail.
  • Maintain the franking machine and ensure an adequate supply of stamps and pre-paid envelopes.
  • Arrange for printer repairs and maintenance.
  • Ensure that the office has adequate stationery, including the most recent account opening forms and other marketing materials.
  • Answer the telephone and transfer calls, take messages, and record telephone notes on client files.
  • Maintain records such as the H&S log, Financial Promotions log, Safe log, and Complaints log.
  • Complete dictation transcriptions.
  • Scan, shred, and photocopy documentation as required.
  • Prepare and print documentation for meetings, including meeting refreshments and client welcome.
  • Prepare documentation for potential new clients for Investment Managers.
  • Provide Investment Managers with MI to support client suitability processing.
  • Ensure valuations are produced and dispatched to clients within regulatory timescales.
  • Personal compliance with all regulatory issues and promotion of compliance culture throughout the department.
  • Identify ways to improve efficiencies.
  • Keep client information up to date and assist in the production of client suitability reports.

Requirements:

  • Educated to GCSE or equivalent level, including Maths and English. A-Levels are preferable, as are additional qualifications.
  • Industry-recognized qualifications, such as an Investment Operations Certificate, are advantageous.
  • Experience working in a similar environment is desirable, as is a general understanding of the stock market and investment operations.
  • Good communication skills, both written and verbal.
  • Highly organized and numerate.
  • Ability to work under pressure while maintaining a high level of attention to detail and accuracy.
  • High degree of initiative in relation to problem-solving and identifying tasks that need to be completed.
  • Strong team player with flexibility to adapt to different working styles.
  • Enthusiastic and 'can-do' attitude, combined with a personable manner.
