Post Sale Coordinator

Sotheby's is seeking a highly organized and detail-oriented Post Sale Coordinator to join our team. As a key member of our Post Sale team, you will play a critical role in supporting clients through the post-sale process, ensuring seamless execution and exceptional client service.
Key Responsibilities:- Work closely with Post Sale Managers to ensure timely and accurate client communications
- Process and allocate incoming payments to client accounts, performing daily reconciliations to ensure completeness
- Manage third-party payments and suspense/unidentified accounts, escalating issues to Post Sale Managers as needed
- Authorize the financial release of property and liaise with internal and external contacts to transfer Temporary Admission
- Process third-party collection authorizations, VAT refunds, and resale certificates
- Coordinate shipping and logistics for outbound property, including domestic and international shipments
- Monitor and execute quote requests in a timely manner, preparing automated quotes and processing changes as needed
- Assess and verify shipment requirements, entering or validating information in Sotheby's systems
- Respond to and resolve shipping and logistics inquiries/issues, including licensing and hand carries
- Ensure property is shipped in compliance with all applicable laws and regulations
- 3+ years' related work experience, preferably in a logistics or client-facing role
- Excellent client service skills, with demonstrated capability in active listening, empathy, and service orientation
- Strong knowledge of logistics, including current domestic and international packing methods, transportation methods, and regulatory compliance
- Ability to work independently and as part of a team, with excellent resourcefulness and problem-solving skills
- Comfortable working in a fast-paced, deadline-driven environment with the ability to remain calm under pressure
