Conference & Logistics Executive Role

We are seeking a highly skilled Conference & Logistics Executive to join our team in this exciting opportunity. As the conduit between Show Directors, Marketing teams, Operations teams, suppliers, and speakers, you will ensure each conference runs smoothly.

Job Description

This is a broad role that requires excellent communication skills, attention to detail, and the ability to work under pressure. Responsibilities include:

  • Liaising with event teams to confirm theatre capacities and AV requirements
  • Negotiating with AV suppliers to secure best prices without compromising quality
  • Maintaining operations budgets, including accurate AV cost tracking
  • Managing stage set design and coordinating venue lighting plans
  • Acting as the main point of contact for speakers, addressing requests promptly and professionally
  • Executing speaker agreements and managing fees, expenses, and accommodation schedules in line with budgets
  • Collecting and managing speaker materials, including photos, biographies, session descriptions, and presentation slides
  • Ensuring timely delivery of marketing materials and proofreading conference programmes for accuracy
  • Organising logistical requirements for special events outside the exhibition hall
  • Briefing and managing theatre and speaker lounge staff onsite
  • Overseeing AV technical teams, theatre staff, and speaker lounge operations during events
  • Producing detailed theatre manager and chair briefs
  • Compiling and coordinating staff schedules in collaboration with Event Directors and Operations teams
  • Conducting post-event reporting and analysis
Requirements and Qualifications

Candidates must have similar experience gained from working within a conference environment and a proven background of supporting in corporate events. Strong communication and negotiation skills are essential, along with the ability to work under pressure and manage multiple tasks simultaneously.

Salary and Benefits
