Job Description

The Administrative Assistant, Children role is a key position within the Stirling Council team, providing administrative support to Managers and Officers across various departments.

Key Responsibilities:
  • Provide administrative support and assistance, including word processing, scheduling, and minute-taking for ad hoc meetings.
  • Maintain filing and records management systems, and handle mail opening, scanning, logging, and distribution.
  • Enter data to maintain and update management information systems, producing records and reports for the Service, Council, and other agencies.
  • Offer a front-line reception service to service users and visitors, dealing with enquiries face-to-face and over the phone, and ensuring calls and enquiries are directed to the most appropriate officer within agreed timescales.
  • Utilize the Council's financial systems to assist with monitoring expenditure against budget allocations, including e-procurement and e-purchasing, and payment of goods and services.
  • Collaborate with the team to share best practice in relation to the development and review of effective and efficient administrative systems, protocols, and procedures.
  • Contribute to the collation and updating of inventories.
  • Suggest improvements to administrative standards and procedures.
  • Work flexibly and participate in other tasks as directed by the Team Leader.
Requirements:
  • A Basic Disclosure Check will be required for the successful candidate.
  • The ability to work flexibly and participate in a responsive service.
  • Excellent communication and organizational skills.
  • Proficiency in using the Council's financial systems and management information systems.
