We are currently seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. As a key member of our office staff, you will be responsible for supporting the Office Manager in the daily operations of our business. Your primary focus will be on property maintenance, tenant inquiries, and administrative tasks.

Key Responsibilities:

  • Provide administrative support to the Office Manager, ensuring the smooth operation of our business.
  • Maintain accurate and up-to-date records and filing systems for each property and tenancy.
  • Act as a liaison between tenants and our office, handling day-to-day queries and concerns.
  • Coordinate with contractors and obtain quotes for repairs and maintenance.
  • Schedule and manage weekly contractor diaries, ensuring timely completion of tasks and tracking expenses.
  • Arrange safety certificates and handle new tenant Council Tax and Utilities accounts.
  • Manage meter readings at the start of new tenancies and maintain records on Excel.
  • Produce and maintain Record of Conditions for ingoing tenants and dilapidation schedules for outgoing tenants.
  • Liaise with tenants to arrange routine property inspections and maintain the inspection diary.
  • Ensure the key cupboard and office environment are well-maintained and organized.

Administrative Duties:

  • Prepare, edit, and format documents, including contracts, property listings, and reports.
  • Ensure all paperwork is completed accurately and filed in a timely manner.
  • Create and update spreadsheets to track property information and tenant data.
  • Handle general office duties, including opening mail and responding to correspondence.

Requirements:

  • Proven experience as an administrative assistant or in a similar role.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Good IT proficiency in MS Office (Word, Excel, Outlook) and basic database management.
  • Strong attention to detail and accuracy.
  • Ability to use initiative and manage time effectively.
