Technical Team Coordinator

We are seeking a highly organized and detail-oriented Technical Team Coordinator to join our team at Val Wade Recruitment. As a Technical Team Coordinator, you will play a crucial role in supporting our technical specialists and communicating with architectural project leaders.

Key Responsibilities:
  • Manage team diaries and set up meetings
  • Manage inbox and respond to queries
  • Act as the first point of contact for the technical team
  • Organize Design Risk Management review meetings
  • Coordinate Technical Team inductions across different offices
  • Arrange peer reviews, gather relevant information, and keep records
  • Arrange meetings, set agendas, and distribute minutes
  • Record supplier information checks
  • Liaise with the Finance department and budget holder to issue questionnaires and check responses
  • Upload useful articles to the intranet
  • Compile and track the department's budget
  • Provide administrative support for expenses claims and timesheets
  • Check suppliers' compliance with finance requirements
  • Maintain the Carbon dashboard for the practice
  • Ensure all sub-contractors are approved by legal and finance
  • Aid in the team's formal development process, timetabling, and advertising speakers
  • Help manage holidays and absence
  • Arrange couriers, travel, hotels, car hire, trains, visas, and insurance for domestic and overseas travel
  • Coordinate team socials

The ideal candidate will be motivated, enthusiastic, and flexible with a calm and helpful personality. They will have excellent communication skills, strong organizational abilities, and the ability to work well under pressure. Proven team support experience and advanced IT skills, including Microsoft packages and Adobe Creative Suite, are essential. Fast and accurate touch typing skills are also required.
