The Maritime Certification Specialist is primarily a customer service administrative position within the Seafarer Operations division, focusing on the certification of seafarers, which is essentially a license enabling them to work at sea and on vessels. In this capacity, the specialist will meticulously review documentation (including training records, sea time, medical certificates, etc.) submitted by seafarers, evaluate their eligibility against established criteria, and, if qualified, issue the corresponding Certificate or Endorsement. Should further information be necessary or if the applicant does not meet eligibility requirements, the specialist will communicate via email to clarify the necessary steps.

Key Responsibilities:

  • Thoroughly reviewing both physical and digital documentation submitted by seafarers seeking certification, ensuring eligibility is assessed against regulatory standards while adhering to service level agreements.
  • Evaluating applications to facilitate seafarers' participation in written and oral examinations, reaching out for additional information when needed.
  • Determining eligibility for the issuance of Certificates of Competency and Flag State Endorsements, and notifying applicants who do not meet the criteria, providing clear explanations via email.
  • Issuing Certificates of Competency/Equivalent Competency to qualified seafarers.
  • Responding to telephone and written inquiries regarding seafarer certification.
  • Assisting with various administrative tasks, including branch projects, customer service initiatives, and enhancing operational practices.
  • Providing exceptional customer service by addressing certification inquiries from seafarers, maritime colleges, and shipping companies via phone and email.
  • Managing incoming correspondence, accurately recording details in appropriate tracking systems.
  • Supporting additional administrative functions such as branch projects and service improvement initiatives.

  • A highly motivated and enthusiastic individual with a flexible approach and a strong desire to learn.
  • Proficient in managing data with meticulous attention to detail, ensuring high-quality standards in all tasks.
  • Demonstrated proficiency in IT, particularly with Microsoft Office applications, especially Outlook and Excel.
  • Experience in effectively communicating with customers or stakeholders through email and telephone.
  • Excellent organizational and time management skills, capable of prioritizing tasks and meeting deadlines.
  • Strong verbal and written communication skills, able to convey information clearly and professionally.
  • Ability to present information confidently and professionally.

Compensation: Competitive pay rate.

Contract Type: Temporary position with potential for extension.
