About the Role

We are seeking a highly organized and detail-oriented Specialty Administrator to join our team at Hampshire Hospitals NHS Foundation Trust. As a key member of our administrative team, you will provide exceptional support to our clinical staff, ensuring the smooth operation of our specialty services.

Key Responsibilities

  • Manage correspondence, attendance, admissions, and appointments for the specialty, ensuring accurate and timely communication with patients and staff.
  • Coordinate the booking of appointments and admissions, working closely with coordinators to ensure seamless patient flow.
  • Oversee the day-to-day management of waiting list entries, escalating any issues or problems to the appropriate personnel or team.
  • Arrange interpreters, patient transport, and other necessary patient assistance to ensure individual patient needs are met.
  • Respond to patient queries, written or verbal, ensuring patients' needs are met and escalating within agreed protocols as required.
  • Dispatch outgoing post to patients and GP surgeries in a timely manner, sorting and distributing incoming post to specialty teams.
  • Ensure patient information is up-to-date and accurate on the Trust's patient information system, maintaining patient confidentiality at all times.

Person Specification

  • Previous administrative experience, preferably in a healthcare setting.
  • Excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in using computer systems and software, including Microsoft Office and patient information systems.
